What it does

Three services, one product

A document is signed or sealed, and anyone can verify the result. You can use each part on its own.

Sign

Send one PDF to one signer by email link. The signer confirms a 6-digit code sent to their email address, reads the document, consents and signs. They need no account and no app.

Seal

seal.onwyn.io

Seal any document as your organisation, with no signer involved. Use document sealing for minutes, policies, price lists and reports: anything you want to be able to show later was not changed.

Verify

verify.onwyn.io

Anyone can check a document at verify.onwyn.io, by typing the code printed on it or by uploading the file. No account is needed and it is free. Verify a signed or sealed document.

How it works

From PDF to a document anyone can check

A signing request takes five steps. The signer's part is the second and third.

  1. Send the request

    Upload one PDF, place the signature field, and enter the signer's name and email address. Choose English or German for the signer.

  2. The signer confirms a code

    The signer opens the link in the email and enters a 6-digit code sent to the same address.

  3. Read, consent, sign

    The signer reads the document, agrees to the consent sentence, and signs by typing or drawing. They can also decline and give a reason.

  4. Onwyn seals it

    The signed document is sealed by Onwyn. It gets its own code and a visible Onwyn mark, and the time is recorded by Onwyn's own clock.

  5. Anyone verifies

    Whoever holds the document checks it at verify.onwyn.io. You download the sealed PDF and the evidence package.

Sealing without a signer is shorter: upload the document, seal it as your organisation, and download the sealed PDF with its code.

With every sealed document

What you get

  • Its own code. Every sealed document gets a code in the form ONW-XXXX-XXXX-XXXX. A code belongs to one document and is never used again.
  • A visible Onwyn mark. The mark and the code are printed on the page, so a person holding a paper copy knows where to check it.
  • The sealed PDF. If one character changes after sealing, the check says so.
  • An evidence package. One download with the event log, the protocol PDF, the original file and the sealed file.
  • A protocol PDF you can hand to an auditor. It lists each step with its time: sent, link opened, code confirmed, document viewed, consent given, signed, sealed. It also states how the signer's identity was established.
For compliance teams

Electronic signature for compliance work

Onwyn Sign is a value-added service to the Onwyn compliance package. An auditor asks who agreed to what, and when. A sealed document with its evidence package is one way to answer. It supports your evidence; it does not make a control compliant on its own.

Policy acknowledgements

Send the information security policy to an employee and keep the signed, sealed copy as the record that they read and accepted it. One request per person.

Have the responsible manager sign the management review minutes, or seal them as your organisation, so the version your auditor sees is the version that was approved.

What the Beta is and is not

Onwyn Sign is being tested now. Read this before you decide what to send through it.

What it is

  • A simple electronic signature. The signer's identity is established by control of their email address. No identity document is checked.
  • Sealed by Onwyn. The seal uses Onwyn's own certificate, and the time is recorded by Onwyn's own clock.
  • One signer per signing request. One PDF, one person.
  • English and German.
  • A Beta. Things will change, and we want to hear what does not work.

What it is not, today

  • It does not provide the stricter forms of signature that some documents require by law.
  • The time does not come from an outside time service.
  • Several people cannot sign the same document.
  • Signers cannot log in with a national ID.
  • There is no API for customers.
  • There is no Arabic version.

FAQ

Questions about Onwyn Sign

Is a document signed with Onwyn Sign legally valid?

Onwyn Sign produces a simple electronic signature. That form is accepted for many everyday agreements, such as policy acknowledgements, quotations and many supplier agreements. Some documents require a stricter form of signature, or handwriting, under the law that applies to them, and Onwyn Sign does not provide those forms. Whether your document is one of them depends on the document and the country. This is not legal advice; if the form matters, ask your lawyer before you send it.

How does Onwyn Sign know who signed?

The signer receives a link by email and confirms a 6-digit code sent to the same address. That shows the person controlled that mailbox at the recorded time. No identity document is checked, and the evidence package says so in plain words.

Does the signer need an account or an app?

No. The signer opens the link from the email in a browser, on a phone or a computer. Signing is free for the signer.

Can several people sign the same document?

Not today. Each signing request has one PDF and one signer. If ten employees need to acknowledge a policy, that is ten signing requests and ten sealed documents, each with its own code.

Where does the time on a sealed document come from?

The time is recorded by Onwyn's own clock. It does not come from an outside time service. The seal shows that the document has not changed since that recorded time.

Can Onwyn staff see my documents?

Yes. During the Beta, Onwyn staff can access documents in demo and client accounts to support and improve the service.

What happens when I check a document at verify.onwyn.io?

You type the code printed on the document or upload the file. No account is needed and checking is free. The answer is one of three: sealed by Onwyn and unchanged since, sealed by Onwyn but changed after sealing, or not sealed by Onwyn. An uploaded file is processed in memory and discarded; only its fingerprint (SHA-256) and the result are kept for 24 hours. The check covers Onwyn seals only. It does not tell you whether the document needed a stricter form of signature.

Every Onwyn compliance plan includes a monthly allowance of sealed documents, from 10 on the smallest plan to 150 on the largest, and during the Beta that allowance is free for existing compliance clients.
